A fair, transparent record of the work behind our school—from first assignment to final approval and biweekly pay.
Our working agreement
These rules apply to every assignment recorded in the system. They protect team members, make review consistent, and keep payroll explainable.
The COO may assign work to any active team member. Team members may create tasks for themselves. Every task names one accountable holder and begins with an estimated time.
Enter actual hours, start and completion times, and a brief results report. If actual time differs from the estimate by more than 25% and at least one hour, explain the variance.
Submitted entries are held for COO review. The COO may approve them or return them with a note. Only approved hours enter the applicable two-week pay period.
After approval, the submitter cannot edit the entry. The COO may correct it, but every changed field is preserved in the audit trail and both the COO and submitter receive a notification.
School-directed off-site travel is reimbursed at $0.45 per approved mile. Personal trips and travel for work that was not assigned by the school do not qualify.
School-directed travel
Record the destination and miles on the task. Only travel expressly directed by the school qualifies; self-initiated or personal travel does not.
Planning reference
Use these ranges to create a reasonable estimate—not as a rigid quota. Research-needed estimates add 50% to the sources-ready baseline; values are rounded to two decimals where needed. Explain material variance in the time sheet.
This guide covers the most common school operations but is not exhaustive. For unusual assignments, the COO and task holder should agree on scope and an estimate before work begins.
